If you have a question or want to exercise a data-protection right, contact Cleaner Warwickshire on WhatsApp at 07490 594601.
Information we collect
Independent cleaners
- Account details, name, business name and contact details.
- Profile information such as photograph, town, services, rates, experience, areas covered, website and social links.
- The full postcode supplied for distance calculations. This is kept private; public profiles display the cleaner’s chosen town rather than the full postcode.
- Self-declared insurance and DBS-check information. Cleaner Warwickshire does not collect or verify DBS certificates through the profile form.
- Membership status, Stripe customer and subscription references, invoices and communications.
- Aggregate profile-view and contact-button statistics. These statistics do not intentionally store visitor names or IP addresses.
Customers
The customer request form may ask for a name, postcode, cleaning requirements, preferred date and time, and the telephone number or email address selected for cleaners to use. The website uses these details to prepare a WhatsApp message; it does not save the completed customer request in WordPress. The request reaches Cleaner Warwickshire only after the customer reviews it and presses Send in WhatsApp.
Please do not include unnecessary sensitive information in a cleaning request.
How and why we use information
- To create and manage cleaner accounts, profiles and paid memberships.
- To publish information a cleaner chooses to place in the public directory.
- To process and administer directory membership through Stripe.
- To calculate approximate distance between a customer postcode and cleaner postcodes.
- To receive customer requests through WhatsApp and share them with independent cleaners in the private Cleaner Warwickshire community.
- To respond to questions, operate the website, prevent misuse and understand aggregate website activity.
- To keep records required for tax, accounting, disputes and legal compliance.
Our lawful bases are: performance of a contract for cleaner accounts and memberships; consent where a customer asks us to share a request and chosen contact details; legitimate interests in operating, securing and improving the directory and responding to enquiries; and compliance with legal obligations for accounting and other required records. Consent can be withdrawn at any time, although this does not affect processing that took place before withdrawal.
Who receives information
- Website visitors receive the information cleaners choose to publish on their profiles.
- Independent cleaner members in the private WhatsApp community may receive customer request details and only the contact information the customer selected for sharing.
- Stripe processes membership payments and card information. Cleaner Warwickshire does not receive or store full card details.
- Our hosting, website, security, email and analytics service providers may process limited information for us.
- WhatsApp and Meta process messages and community data under their own terms and privacy information.
- Information may be disclosed where legally required or necessary to establish, exercise or defend legal claims.
Independent cleaners are separate businesses and are responsible for how they handle customer information after receiving an authorised request. They must use it only for that cleaning enquiry and must not share or reuse it for unrelated marketing.
International processing
Some service providers, including Stripe, Meta/WhatsApp, hosting or analytics providers, may process information outside the United Kingdom. Where required, we rely on the provider’s recognised transfer safeguards and contractual protections.
How long we keep information
- Customer cleaning requests: removed from active circulation when the customer tells us they have found a cleaner, or after 30 days. WhatsApp messages and copies held by community members may not disappear automatically; members are instructed to use customer details only for the relevant enquiry.
- Cleaner public profiles: kept while the account and membership remain active, then unpublished when access ends.
- Account and support records: retained only as long as needed to administer the account, handle disputes and meet legal obligations.
- Payment and accounting records: normally retained for up to six years where required for tax, accounting or legal purposes.
- Security logs and aggregate analytics: kept only for the period needed for security and service analysis, subject to provider settings.
Cookies and analytics
The website may use cookies or similar technology that are necessary for login, security, forms and website operation. Optional analytics or marketing technologies should be used only where permitted and, when required, after consent. Browser controls can also be used to restrict or delete cookies, although essential features may then work differently.
Your rights
Depending on the circumstances, you may have the right to ask for access to your personal information, correction, deletion, restriction, objection, or transfer of information. Where processing relies on consent, you may withdraw it. We may need to confirm identity before completing a request.
You may complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/. We would appreciate the opportunity to address your concern first.
Automated decisions and children
Cleaner Warwickshire does not use personal information to make solely automated decisions with legal or similarly significant effects. The directory and customer request service are intended for adults and are not directed at children.
Security and changes
We use reasonable technical and organisational measures to protect personal information, but no internet or messaging service can be guaranteed completely secure. We will review this notice and update the date above when our services or data practices materially change.
